Useful Information

The Conference team is an experienced team based within the Clinical Education department of UHL.

We offer experienced and professional assistance when planning a course or conference including managing budgets and finances, sourcing and booking venues, arranging suppliers, managing delegate registrations, creating course collateral including delegate packs, name badges, certificates etc. and liaising with Royal Colleges. We have a choice of spaces we can offer across three sites including lecture theatres and seminar rooms of varying sizes.
We offer a full conference service akin to anything in industry.

The conference team can promote courses, including, but not limited to, displaying and sending out flyers, implementing targeted mail-shots or email-shots, social media campaigns and liaising with Royal Colleges for relevant advertising. During a course or conference, the team offer onsite support to deliver planned courses to greet delegates, ensure all room set ups are correct, distribute delegate packs, set up and monitor any required IT and to answer any delegate queries. Post-event, the team collate feedback forms to send to delegates and Course Directors, send out post-course certificates, reconcile finances associated with the course and close the course account, provide a course de-brief and if requested, share images captured throughout the course.

Frequently Asked Questions

Once you have an idea of what course you would like to run and how, please email the conference manager at ClinEd.Conferences@uhl-tr.nhs.uk to discuss your requirements in detail.
Sadly not. The conference team have to make their own salaries and therefore we charge a modest fee per delegate. This income is then reinvested into the service.

The price is very much dependant on a case by case but we can work out a price that works for both parties. Whilst we must cover the salaries our focus is on supporting our colleagues to deliver excellent educational events.
Delegates will be able to book onto our courses through this website. If you have login details please make sure you login before booking a place. Please take note of the number of places available and the entry requirements.

Do you take electronic payments?

Yes. To make an online booking you will be given instructions on how to pay throughout our Trust payment system. Once a payment has been made the team will receive notification from the system and then they will confirm your place.
If a delegate cancels their place on the course, the amount refunded will depend on the amount of notice given. This is because we will have incur administration costs the closer we get to the course. The different levels of refunds are:
  • If a cancellation is made 6 months or more before the course, we will refund 100% of the course fee.
  • If a cancellation is made 4-6 months prior to the course date, we will refund 75% of the course fee.
  • If a cancellation is made 2-4 months prior to the course date, we will refund 50% of the course fee.
  • If a cancellation is made within 2 months of the course taking place, no refund will be given.
If courses are cancelled due to extenuating circumstances or circumstances classed as force majeure, full refunds will be given to delegates.

Finally, if we cancel the course, all delegates will receive a full refund or a chance to transfer to a future course.
